Vendor Agreement
Sales Tax
The vendor is responsible for paying all sales taxes associated with their sales.
Liability/Hold Harmless
The vendor will assume all risk and hold harmless Meeple-a-thon, the venue, and all parties associated with Meeple-a-thon, other vendors, and any agents thereof. The vendor assumes legal responsibility for claims, damages, and liabilities while using the venue.
Illegal Items
The vendor agrees not to sell items of an illegal nature such as, but not limited to, bootleg/pirated products, age restricted items to minors, and other restricted products.
Staffing
The vendor is responsible for staffing their own booth and managing those employees.
Rental and Refund
The vendor agreement will include a single table and two vendor badges. (Additional badges available upon request)
Payment for the tables will be collected by October 31st. Any refund requested before this time will be returned at 100% of value. After October 31st, refunds are no longer available.
Set Up and Tear Down
The venue will open at 10a on Friday November 17, and vendors will be able to set up at that time on opening day. Convention hours are as follows: Friday 5p-11p, Saturday 9a-11p, Sunday 9a-5p. The convention will fully close on Sunday November 19 at 5pm and vendors will be expected to have taken down their tables by 9pm.
Vendor sale hours are any open hours of the convention. If a vendor wishes to close down their booth at any point during the event, they may do so by checking out with the Vendor Coordinator. If the vendor wishes to temporarily shut down their booth, they may do so by notifying the Vendor Coordinator who will assist with locking down to booth to ensure the safety of any items there until the Vendor is to return at a predetermined time.
Meeple-a-thon will be providing a safe location for the sales of your merchandise during the convention; however, highly sensitive items, such as cash boxes, should be kept by the vendor in a secure location when the vendor is not present. Meeple-a-thon is not responsible for the security of these highly sensitive items.
Display
The vendors are allowed to set up displays that do not obstruct the flow of traffic in their booth area. However, vendors are not to place anything on the walls.
Safety
Meeple-a-thon is a fun convention and safety is one of our highest priorities. Vendors are expected to take safety into consideration when setting up displays, setting up and tearing down, and conducting their business. Anyone who creates unsafe conditions will be asked to correct the safety risk and those who do not correct the risk will be asked to leave.
No Giveaway Food
The vendors are not to have open giveaway foods, per the venue and Kansas City Health Department regulations.
Security
Meeple-a-thon will be providing a safe location for the sales of your merchandise during the convention; however, highly sensitive items, such as cash boxes, should be kept by the vendor in a secure location.
Electricity
Outlets up to 5 Amps will be located near the vendor tables upon request. Vendors will need to provide their own power strips and extension cords, which will need to be taped down for safety reasons.
In the event a fuse is blown, any fees incurred by Meeple-a-thon will be passed on to the vendors.
