Thank you for volunteering to run games at Meeple-a-thon. In order to ensure a smooth and enjoyable experience for everyone, we have provided guidelines and answers to common questions. If you encounter any problems or issues, please contact one of the staff members listed at the bottom for assistance.
- GM Perks: GM’s running a game at Meeple-a-thon will receive a free badge to the entire weekend event. GM’s running more than one game at Meeple-a-thon will also receive a limited edition Game Master acrylic pin, access to our social events for GM’s and an exclusive swag bag. Events can be submitted online HERE, once approved you will receive an email with the discount code to claim your free badge.
- X-Cards: Each table should have an X-Card and instructions. Familiarize yourself with the purpose of the X-Card and understand that if someone touches it, the game pauses until the matter is addressed.
- Tagging Games: Ensure that your game is appropriately tagged with the following Age Range labels to make sure that the right person is in the right game:
- All Ages
- Kids Only (12 and under)
- Preteen (8+)
- Teen (13+)
- Adult (18+)
- Legal Drinking Age (21+)
If a player does not meet the requirements or if there are any concerns, suggest that they find another game or contact the staff. Note that some teenagers may be comfortable with mature content while some adults may not be.
- Disruptive Behavior: If a player is being disruptive, you have the authority to ask them to leave the game. Alternatively, you can contact our staff for assistance. Meeple-a-thon has a code of conduct that everyone is expected to comply with, which can be found at https://meepleathon.com/personal-conduct/ . If any issues arise, please contact the staff, and we will handle it.
- Day of Process: When you arrive to run your session, you can check in at the Event’s counter to pick up your event sign-up sheet no sooner than 15 minutes before your event. Should you choose not to pick up your sign-up sheet, it will be delivered to the assigned gaming table for the event by a volunteer approximately 5 minutes before the event. Online signups for events will close on November 12, the Sunday prior to the event, but event sheets will be available for day of sign ups.
- If your email address is assigned to your event online, you have access to pull your own event sheets at any time by navigating HERE, entering the event in your schedule, and then selecting “Generate Event Sheet”.
- When your event sheet is picked up or delivered to your table with any additional day of sign-ups, you will also receive a “Best Player” ribbon to award at your discretion or a popular vote of players at the table.
- Other Ribbons available for players, to be awarded at the GM’s discretion. These ribbons will be available at your nearest Event Sign-Up station.

- I Tried! (Player who did not win, but tried)

- Charity Rerolls: Meeple-a-thon is first and foremost a charity convention, and with this in mind, we support the ability for players to elect to reroll their dice if they make a donation to charity. If a player wishes to make a charity reroll of their dice, they can visit the closest event table to make their donation, and they will receive a “Reroll” coupon to indicate that they paid for a reroll. These rerolls can be purchased in advance or they can be purchased during the game. When presented with a reroll token, simply return it to the front desk with your event signup sheet once your event is completed.
- Scheduling: If you encounter any scheduling issues, please notify us as soon as possible. Whether you need to cancel, adjust the time, or make other changes, early communication is appreciated. Even if you are uncertain, please give us an early heads-up so that we can update our records and make necessary adjustments.
- Respect for Time and Schedule: We strive to ensure that your table is clear and ready for you to run once your game begins. Please be respectful of other games and their scheduled times. It is recommended to allow a 10-minute waiting period before officially starting the story, in case any players are running late or needs additional time to settle in.
- Too Many or Too Few Players:
- If you have too few players, we will provide LFP (Looking for Players) signs to attract potential participants. If that doesn’t work, consider having players control multiple characters or run one of the characters as a henchman to assist during key areas.
- If you have too many players, you have the option to allow additional players above the limit if you believe you can handle it. If there are still too many, priority will be given to players on the sign-up sheet, those on the waitlist, and then on a first-come, first-served basis.
